Our office client database is in desperate need of updating to a windows based application. Our existing client database is a DOS program that is really starting to show its limitations.

What software are you using to keep clients, and more importantly events in? our existing mode of operation is to keep every event separate, by event number. I have looked at Gigmaster, and DJ webmin. Neither felt just right. Im not sure if it is because they are more for single opps? or if its just because they are different, and I need to learn to adapt? :sqmad:

I would also like to have my data kept at my office. I do not want to rely on the internet connection to have access to my data files.

I have thought of ACT, however Im sure there are better programs out there that may do what i want better.

Some of the features I would like are:
*fields for BRIDE and GROOM names.
*Company or group info field.
*venue fields, with a way to pull up venue information, including venues manager's name, and special notes ie. load in requirements, whether we can use a hazer or not...
*A way to place an event onto a time table, to automatically prompt for cretin e-mails, like a 5 week out reminder, 2 week reminder, a after event survey...

Also a way to track the fanatical end as well, deposits and payments.

Does anything like this exist??

ACT is 100% garbage.... So, I am glad you are not going there!

I love DJ Event Planner.... our sponsor.... in fact, even though I have gigbuilder because of WeDJ, I pay the $100 for Event Planner.... I like it SO MUCH better.... but I can't speak to everything you are looking for.

Microsoft's Access 2007 is extremely user friendly and will let you setup your own data base and what not... Otherwise and excel sheet is rather simple...
I personally have my own set up on a private server.... MySQL and PHP, works great and it is not attached to the internet... Note the machine is windows based, Not linux, but you would have to know PHP and have time to code what you want out...
Try Access... It may be worth it...

I agree. You can design your own. If you really want to go to a higher level and tie in the financials to the database, costs expenses etc then try Peachtree.

Do you use quickbooks?

It might be helpful to add "custom fields" within your customers & vendor sections. I don't see the hubba for ACT, we used it at my old place of employment, but I seriously doubt we used it to its full potential.

I did see a mention about PHP/MySQL integration, as well as Access. I will tell you honestly that the solution (from scratch) may not be for the most tech-savy users (not to belittle). I will throw out there that IF you have an absolute need for a custom application our company can create something. Our business is centered around corporate database applications, with integration into currently existing database schemas. However, custom applications like this may not be cheap if they have all the bells and whistles you want. On the other side you get something that is truly custom, functions the way you want it to, and seamlessly integrates into a customer portal. We are currently working on a system like this for a client, on the flip side, we have an on-the-shelf long term project we are working on within sports. One where we index sports games on the internet. Another one allows a softball organization to update their entire roster within a simple web based database.

Once again, features dictate price, but I understand why buy a custom solution when it is already out there, and that is where I am honestly saying try out our sponsor, i believe he has a 7 or 14 day trial :)

I'll be honest with you again too, I HAVE the skills to write an application like dj event planner, but with all the companies out there it would be stupid to try to compete with the companies that are already rockin' and rolling. So if you get anything out of this post, please please please give our sponsor a try :)

I use GigBuilder. I have had it for about three years now. It is involved with every aspect of my business. And the new 4.2 Version is fantastic.
It takes care of client database, quotations, followup, billing, DJ and Equipment assignments, music library, event planning timelines, request lists etc.

What's even better? It's free with your advertisement membership.

Take a look at DJ Event Planner, one of our sponsors. Do a search for threads about it here.

For a multi op our size I've tried
Gigbuilder- Their event screen looks like a spread sheet and while a single could navigate through it quickly it hurts my head to look at that many jobs all bunched together

Webmin- Sucked for multi ops their calendar screen on a typical saturday would have the saturday block 4 screens long, NO customization of reports etc

Event Planner- Very user customizeable and calendar screen shows job status categories with number of jobs next to it and then the day you want to look at on a side bar. BEST yet

Thank you to every one that has replied... I will look into Event planner, as well as Access and the other solutions.

Kyle, thanks for pointing out what I forgot to point out, as a large multi, we are involved with up to 15 events a night, so some applications just do not fit my business model.

travis, I agree if there is a solution out there that already does what I want... great!

Hubba? Is that a good term? Anyway, I considered ACT! And when i went to amazon this is what I found:

Amazon.com: Customer Reviews: ACT! By Sage 2008 10.0 [OLD VERSION]@@AMEPARAM@@http://ecx.images-amazon.com/images/I/51Xt7673gTL.@@AMEPARAM@@51Xt7673gTL

And when I was looking at it, the reviews were MUCH WORSE!
