Just recieved my first cancellation for the year for a late April wedding. I met with the couple this past weekend and all seemed well at the time. Go figure.

"Hi Theo,

What a difference a day makes...

I'm sad to say that we will not be moving forward with the wedding. We ended our relationship yesterday. Needless to say, this is devestating. I hope to be able to work with you someday in the future, but at this time must forfeit my deposit and end our contract for service."

Sorry to be the bah humbug on this, but...

It sounds like they found a lower cost alternative. If you know where it was to be held, check with the venue to see if they were cancelled as well.

To what end you ask? Try to confirm this cancellation and offer to use the deposit for a future event.

If she is telling the truth, then that's the stand up thing to do.

In this case a refund was not requested nor expected as it is clear in my contract and I also cover it during my consultations. The client acknowledged same in her response.

If this was due to a lower cost alternative I would spend that energy getting another client willing to pay for what I have to offer. I will make an offer to use the deposit toward a future event though.

well thats a first for me at reading one like that

normally they try and get a refund :(

so you have a freebie - run with it :)

Well its not quite a freebie. Gas, time spent planning/meeting that could have been spent prospecting, and a few tracks bought that I didn't have. If anything its a wash.

Perhaps the bride actually ended the relationship. Only a DJ would be able to decipher that reason to mean "they found a lower cost alternative".

Even if the real reason was that they found a cheaper alternative what would you all do about it? Make them stick to the agreement you both signed and have them then become a bridezilla? So he won't get to do their wedding. I say just use the money you already received for what you feel you need to do with it and move on.

I suspect you aren't charging enough deposit. If you don't mind me asking, how much do you require down?

My deposit percentage is 33%. This was for my "silver package" which was $800 (last years rates). The deposit amount was $264. My out of pocket was about $50 across gas, parking, and tracks. We met twice at the venue at $10 a pop for parking. So Im considering the time spent.

A lower cost alternative is not really a lower cost, if she already dropped a deposit with Theo and is NOT getting it back.
And personally, I wouldn't pursue the venue or the client.
What are you gonna tell her? That you called the venue because you didn't believe her story?
And if she was lying, would you really wanna deal with her on another gig?
I'd take the deposit and the day off.
