Hello Mr. Clark,



Our family is hosting a surprise 90th birthday for my mother on May 21 from 1 - 4 pm. I believe we will have around 70 people and have mostly everything worked out except the music. I have put on a USB many songs that were favorites from the 40's and other types of music also, but I do not want to have to be "in charge" of everything going smoothly. It is not a wedding, and we don't need special lights or photography, just a someone to "manage" the schedule of things going on such as putting on the music I have chosen when she enters the venue, then other music during a 1-hour cheese&crackers, get-acquainted time; after that a dinner at 2 pm with jazz music that I have chosen; and then afterwards some dancing and fun, cake cutting, etc., maybe a couple of announcements that we would like to make, a few light-hearted jokes, or whatever, but keeping it simple. It will be a crowd of 60% around 75 years old+, the rest younger, no children except for 3. It may be too small an event for you, but just thought I would inquire.



Let me know if you are interested; the party will be in Whitesboro.

It's 17 days away... Today's the 4th.

I guess the first question is... Are you booked???... and if not, is it a gig you would do if it had been booked 6 months ago?.... Final question... are they willing to pay what it would take to get you?.... Sounds like RoseAn has picked all the music. Do you wanna do that?[emoji4]

What is the venue?... If in someone's house, accommodating 70 old people would be a challenge.[emoji4]

But why phone them I am already book for that date. I did email them back and told them that I could not do the event and told them you do realize its only 17 days away

One thing I find when they say we don't need lights or stuff like that means they are not looking to spend a lot of money.

For me this event would be a breeze. My one issue with this one is how much music is on this USB drive and could I get it way ahead of time before the event. My reason for this is not to just see what music is on there but also to see for each time slot as mentioned for the event is there enough music to fill each time slot? Or would there be a need for more music. If so I would want to know if I would be allowed to do what I need to do to fill up the time?

The dancing part at the end would be too easy for me! I wouldn't look to play Jamie Foxx's I don't need it or stuff like that. Just stuff from back in the day that would get them up to dance. Maybe Joe Turner's Flip Flop and Fly (which is one of my personal favorites) depending on the crowd.
 
you're right I miscounted, my point is we are the last to be called, and it sounds like she has pick all the music. Yes I do have another event that day
Since she has the songs structured, you could always offer to rent them gear and she could find a relative to start/stop songs.
 
Another factor I thought about as well is the time for the event. 3 hours is not a lot of time for an event depending on all they want to do for the event. Will every thing fit they want done or will some things have to be cut out? 17 days is more than enough time to get things together for this event. Them waiting to book a DJ this late is another indicator they don't plan on spending a lot of money.

The craziest event we ever did was a wedding. My best friends wife called me Saturday morning at 7;30. I didn't get the voice mail till 11am. The reason for the call is the DJ that was supposed to do it backed out at the last minute.

The wedding was the next day. All I had to do was get the retainer and go buy a Stevie Wonder CD. It was crazy because he was 77 and she was 33. For a wedding present he bought her a Cadillac Escalade and they went on a honeymoon to Aruba. She was a lesbian. I heard he died a few years ago. We pulled it off without any problems.
 
17 days is more than enough time to get things together for this event.
Mix, Some of us are working four weeks out on weekly events! May not be time or want to take the time to work on something that has little return compared to the events that have been booked over a year out.

I don't have a problem with that at all. This one I say would fit as a filler in if you weren't already booked. I said it anyway. I would be surprised if they were willing to spend say $500 or a little more for this event as close to the date it is.
 
She is looking to spend $300 or less. I'll bet a Mcdouble at Mcdonalds on it!
 
The few times I get these calls for events I really don't want, I say my normal rate ($1600 for non wedding events, just sound system)... and it ends the conversation in 5 seconds. No point in even trying to explain further on these type of inquiries... unless you really do in fact want it. In that case I'm the wrong guy to ask for advice.

What events? You claim I hardly do any. It says nothing at all about events I do. To be fair some do plan properly when having an event. I agree with them looking to spend $300 or less. You never. They may have gotten what I call a fake DJ to agree to do it. I call them a fake DJ if they bailed out on the job for another one paying more.
