We are participating a bridal show this weekend, it is a small one. We will be the only DJ company there, and are actually providing the music and doing the emceeing for the event. I am going to pre-mix the music so I can concentrate on talking with people. We will have our screen set up, and I have made a slideshow up of all the weddings we have done in the past.

I am wondering what is the best way to collect people's information. I was thinking of setting a laptop up, and have the brides put there info into Outlook (I will create a file just for the bridal show).....what are you thoughts? Would this be a good way to get the info or would you have a better way? There is no wifi at the venue where the show will be.

I was thinking of a locally stored webpage that you could have people submit info to (date, names, hours, location, email address, do you want us to contact you, etc)? Not quite sure how to make that work, but that's my idea. You could also have like - post it pads, with these fields printed on it - and they drop them into a box?

Unless you give them a keyboard, not much control over that (unless you entered it all y'erself).

Patrick,
Do you have and know how to use Microsoft Access? You can create your own Forms for people to fill out. It is actually a true Database.

Access would probably be way more complicated than what it would be worth for this task. In my opinion, your best bet would be to setup a basic Excel spreadsheet and do it that way.

Excel would be pretty easy to do - and you don't 'need' a form unless you care about them seeing other names on the sheet.

This is what I was thinking. With Access all they see is their blank form. As i mentioned before, Excel is a Spreadsheet and Access is a dedicated Database. You can make queries etc after you create your database. Problem is if Patrick does not know how to use it then the learning curve will be a bit too much. I just asked hoping that he will have it and know how to use it.

Patrick, if you are going to be doing this on a regular basis and want to keep up with Clients, Prospects, Venues, Gigs etc you may want to get this. http://www.act.com/Products-and-Services

Patrick, I can modify one of mine for you and send it to you. Would you use it? Have you even used Access Before? I will set it up in Table and also in Form Format.
These are the Fields I would use, you can add anything else to it so I can custom build it for you. The Form may look like this.

All this is time consuming and while one is entering their info you are losing three who wont wait. Pen and Paper is the best route

He can print the form above. It is not properly formatted but he should get the idea.

Ballots with all vitals listed encourage them with a free photo ad on or whatever but make it an attractive contest type offer. when having them fill out the ballot make sure you mention neatness as you want to be able to give the winner the prize. Make sure the ballot has enough room so they dont have to squeeze the info in or it will not be legible. Also set your ballot box away from main traffic and check the ballots before they leave if possible for neatness.

I've not once collected anyone's info ... if you have what they want, you won't need to try and sell it after the show. Make the first impression count and not have to worry about this foolishness.

Besides, why isn't your show collecting this info and providing it directly to you?

Randy with all due respect that way does not work here. We book four or five at bridal shows and the other companies are wondering how we do it. Others we book nothing but gain links for consultation and then we close deals that way. This is how folks roll here. Many shows throughout the year and its a known fact Fall shows are window shoppers which we do really well with. January is final roundup for the yr for most and we do well also but we hook them after the fact more often than the few we regularly gain. The smaller shows are even the same. There is a privacy act issue here.

I don't remember this thread being about you. ;)
