I hate not knowing details till the last minute.

We have a couple of events coming up and details are not fully clear. Next Saturday we have a retirement celebration to do. We know the location for the event but as of right now I don't know the start and end time for the event. This one came from the wedding we did last year.

They kept putting the date off and the location for the event. I was ready to tell them I'm done and my partner could do it himself. This is a paid event we're doing. So no wisecracks about this being a freebie. This is someone in my partners family retiring. He'll be the DJ and I will be there taking pictures and video.

Then on May 12th got a wedding to do for one of my sponsee sisters. She's getting married and I'm her one and only choice. She works 2 and 3 jobs, so it's hard to catch up to her. I will call her fiance later today to see if I can reach him. I will get all the details and things will be fine. I know she knows I know what i'm doing. That sometimes is the reason some people are last minute with me.

My questions to all here is what do you call last minute getting details for an event and what do you prefer as far as time getting all the details for an event?

I'm okay with getting the info while I'm introducing them.
There's not a lot about an event that makes me nervous. :)
Tough to be doing that if you don't even know when it starts ... :)

No. It's for the purpose to show future clients past work we've done if the client doesn't object to us taking pictures and video. Also looking for content to use for a website.

Then actually PAY a good photographer and/or videographer to get those shots.
 
Like I said some know I've been doing this a long time and my partner as well. So they just figure you got it all together. You can do this in your sleep.
 
I don't care if I get wedding info the day before.
I even got info the day OF the wedding (I filled in last minute for a sick friend)
But if you don't have a START and END time...
that would normally mean you don't have an actual contract.

Regardless, you need to keep trying to contact the client until you get a response.
If they do not reply, there may be a problem.
I would contact the venue and see what they know.

But, if the person retiring is your partner's family member...
you should have NO problem contacting them.
In fact, your partner should contact them first
 
The latest I have booked a wedding was 3 weeks prior. They had an issue and I happened to be available as I was getting back from vacation the day before. When they called, I told them I would do it but I require full payment and all planning notes to be done 3 weeks prior to a wedding. They asked that I send them all of the paperwork. I emailed the contract, planning guide and invoice. The next day I got the signed contract, payment and planning guide. The following day we had a phone call and walked through the planning guide. So, I had all the information 20 days before. Most of my weddings are booked 8-18 months in advance. I know the date, time and location when they are booked.
As for other events, it depends but I do not book without knowing the location, time, date and a deposit. I have great relationships with my clients and check in with them regularly. Couples that book a year + in advance, I send emails to every couple months to check in. If they don't respond, then I know something is up well in advance.

Just thought it was worth pointing out that I have contracts 3 years out and while the times may be adjusted slightly, I know that prom will start about 8pm and end about midnight...when the date gets closer, they may decide to make it 8:30 or 7:30 start or quit at 11....but I'm in the ballpark. I also know that the dance will be approximately 4 hours, and not 12 hours.....little things....A 4 hour dance may run about $3000, but we charge $300 per hour for additional time....so that can quickly change if the timing isn't set. Those terms are outlined in our CONTRACT.

That's harsh!... But I wish Mix would just keep some things to himself.[emoji4] I post WAY too much information, but I don't post EVERY dumb thing I do... Like yesterday at breakfast[emoji1]... The waitress poured my second cup of coffee... I had an empty bread basket I was putting my trash in. I opened one creamer, poured it in my coffee and put the little container in the basket. Opened the second creamer, and... POURED IT IN THE BASKET![emoji1]... Baskets don't hold cream too good.[emoji1]

I would NEVER post a story like that, because it would make me look feeble.[emoji1]

They figure you have it all together, however I don’t think that I’ve ever seen you post about a gig that was trouble free. Seems like something is always going wrong at your gigs, and you point fingers instead of looking at the man in the mirror.

Please correct me if I’m wrong.
