The load in for this one might be tough.

I got a text message from my best friends brother who wants me to do an event for him on July 6th. If it's in the same backyard the load in sucks. You have to go up 2 flight of concrete stairs with your gear to get to the backyard where you setup to do the event. It will be a cookout with the people who live in the complex.

No need for a generator. They allow you to plug into an outlet. Just have to use an extension cord. I dio wonder if this lady who was hitting on me still lives there and will she be there.

The one thing that you have to deal with are the kids who are there. They just want what they want and they will keep bugging you to play the music they want. You have to keep reminding them that you have to play other stuff for the adults that are there as well. The kids and the load in are the 2 things I dread doing this event. I will certainly remember to bring the facade and the up tent as well to keep the sun from beaming down on the gear making it too hot to play on. The good thing is we only need to bring the 2 Yamaha tops. I plan to get there between 10 and 10:30 am. The event is from Noon to 6 pm. So 6 hours and we're done. That's great. No late night event getting home past midnight.

If the party is for kids (such as a graduation party or a bday party for someone under 25), then you really DO need to worry about what they want, as that's who the parties for. When I do Sweet 16's I play ZERO music that's aimed for the adults... if the adults dance great... if not... who cares, the parties not for them, unless my client (the bday girl and her parents) says to play music for those generations.

No it's not a kids thing. It's just that some kids will be there bugging you to play stuff they want to hear as. It will have to be a nice mixture of music to try to please a variety of people that will be there.

Other options (given your track record of opposition to profit):
1) Rent a helicopter to drop your gear into the proper area, like a navy seal team.
2) Contact a production company and hire them to stage this event.
3) Place all your gear on the Starship Enterprise's Transport Platform and have Scotty beam you to the exact spot you desire.
4) Truly contemplate why you would expend so much effort for so little return, and decline the offer.

I didn't decline a thing. We're doing it. My best friends brother ask me to do it and we have the date open. It's a nice small event and they love us.

Have them carry the equipment in especially if you’re not getting paid or not getting paid much. As for kids organize something to do with them, keeps them occupied and entertains the adults. When I used to do block parties it was a big hit With the kids, I had a whole bunch of activities I would do with the kids. The funniest moment was when I was doing one activity with the kids and one Parent came over and said we want to play too.

I don't like having someone that is not a part of our business moving any equipment for us. Something might happen where they get hurt and look to sue you for any damages.

That’s what insurance is for, so at your last event you moved every piece of your equipment? You can minimize your risks with Insurance and proper wording in your contract.
Contract? CONtract??? Mix don't need no stinkin' contract !

In the absurd circumstance where Dramacho would have any business insurance, the policy would likely not cover the activity you recommend.

Using volunteer/non-employee labor is typically a specifically excluded provision in such policies.

Half of the folks in the area are partners, so he's probably covered if he actually has it.

You right, my bad.

Obviously everyone else in that professional association, aka cabal, operates legit, insured businesses.
As legit as any Democrat subpoena ..

small handball court.... 40 attendees... every speaker he can find on craigslist..

large apartment complex... 40 attendees... 2 speakers are fine

Mix did it with a pair of Yamaha DSR115s 2 years ago so not sure he'd need more than that .. but what do we know.
